Calendly integration
Phone callers, booked into the event types you already use.
Calendly already owns your availability, your buffers, and your confirmation emails. Callspace just adds the phone to it. Your AI receptionist reads live openings from the event type you choose, books the caller while they are still on the line, and lets Calendly send the confirmation exactly as it does for web bookings.
What it does on a call
Live availability from your event type
Before offering a time, the AI reads real openings from the Calendly event type you picked — buffers, minimum notice, and daily limits included. If the caller asks for a day that is full, it says so and offers the nearest slots instead of taking a message.
Books during the call
The caller is booked into the slot before they hang up. The AI asks for their email and reads the spelling back, because that is where Calendly sends the confirmation.
Reschedules by phone number
A caller ringing back to move an appointment is matched on their caller ID — no booking reference to read out. If they have more than one upcoming appointment, the AI asks which one before moving it.
Calendly stays the source of truth
Confirmations, reminders, cancellation links, and calendar invites keep coming from Calendly. Nothing changes for the people you already book through the web.
When it earns its keep
- Callers who would rather book by phone than fill in a form
- After-hours and weekend booking requests that would otherwise hit voicemail
- Overflow while your team is already on another call
- Reschedules that never make it back to whoever manages the calendar
- Older or less technical customers who will not use a booking link
How to turn it on
-
Open Settings → Integrations → Calendly
Find Calendly in your Callspace integrations list and open it.
-
Connect your Calendly account
Click Connect Calendly and approve access. Use the Calendly account your business actually schedules from.
-
Choose the event type
Pick which Calendly event type the AI books into. Each team can book a different one, so a sales line and a service line can use separate event types.
-
Turn on phone booking
Go to Settings → AI Agent → Booking and switch on Enable Phone Booking. The next caller can book.
Before you start
- A paid Calendly plan — phone booking uses API access that Calendly does not include on the free tier.
- An event type selected for the team. Booking stays off until one is chosen.
- One booking provider at a time. If Jobber or Google Calendar is connected, disconnect it before connecting Calendly.
Questions
Do I need a paid Calendly plan?
Yes. Booking by phone uses Calendly API access that is not available on the free tier. Everything else in Callspace works regardless.
Does the caller still get the usual Calendly confirmation?
Yes. Callspace books through Calendly rather than around it, so confirmations, reminders, calendar invites, and cancellation links all send exactly as they do for a web booking.
What if the caller will not give an email address?
Calendly requires an invitee email to create a booking, so the AI asks for it and reads the spelling back before confirming. If the caller refuses, it takes a message and you get the details by text instead.
Where do I set my availability?
In Calendly. When Calendly is connected, Callspace hides its own booking hours and duration settings so there is only ever one place that decides when you are free.
Can I use Calendly and Google Calendar at the same time?
Not for booking. One provider owns the schedule so two systems can never hand out the same slot. If your Calendly is already connected to your Google Calendar, that link keeps working on Calendly’s side.
