Your practitioners’ schedules, appointment types, and patient records already live in Cliniko. Callspace answers the phone, offers the openings your online booking settings allow, and writes the appointment into Cliniko while the patient is on the line. What it does on a call.

Openings from your online booking settings
The AI offers the same times your Cliniko online booking page would, for the appointment type the caller needs and with the practitioner they ask for. When the day they want is full, it offers the nearest alternatives.

Patients found by name and date of birth
The AI asks for the caller’s name and date of birth and finds their patient record, allowing for a misheard spelling. A caller with no record is registered as a new patient and booked in the same step.

No double bookings
Right before it books, the AI checks the slot is still open in Cliniko. If someone else took it, the caller is offered another time.

Reschedules and cancels
If the patient has several upcoming appointments, the AI reads them back and asks which one to change, and it can move a visit to another practitioner’s opening.

Setup
How to turn it on.
- 01
Connect
In Cliniko, add an API key under My Info › Manage API keys. Then open Settings → Integrations in Callspace, choose Configure on the Cliniko tile, and paste the key. It is checked on the spot.

Choose your location
Pick the clinic location from the list Callspace loads from Cliniko. Every phone booking goes to that location, in its timezone.

Turn on phone booking
Go to AI Agent → Booking & Calendar and switch on Enable Phone Booking. The next caller can book.
Before you start
- A Cliniko API key, ideally created under a dedicated Cliniko user so it outlasts staff changes.
- Online bookings switched on in Cliniko for the location, practitioners, and appointment types the AI should offer.
- One booking provider at a time. If Google Calendar, Calendly, Jobber, or Juvonno is connected, disconnect it before connecting Cliniko.
FAQ
Questions we get asked.
Where do I set practitioner availability?
In Cliniko. Practitioner schedules, appointment types, visit lengths, and your online booking rules all come from Cliniko. Lead time and how far ahead callers can book are set in Callspace.
How does the AI know which patient is calling?
It asks for their name and date of birth. If those match a patient in Cliniko, the AI books onto that record. If they match none, the AI registers the caller as a new patient.
Can the AI book into more than one location?
Phone bookings go to the one clinic location you choose when you connect.
Does it work on calls the AI places?
Yes. Recall and confirmation calls use the same Cliniko booking, so a patient who agrees to come in is booked before the call ends.
What happens if I disconnect?
Callspace stops booking into Cliniko. Nothing in Cliniko is changed, and appointments already booked stay where they are.
