How patient data is handled

Coverage

The calls it takes off your team.

A front desk runs out of hands before it runs out of calls. Callspace picks up every line, books into the schedule you already keep, and hands your team what the caller said. With compliance mode on, those details stay inside the app. Email, SMS, and push carry a link and nothing more.

  1. 01

    Books and reschedules

New patients, recalls, follow-ups. The agent checks real availability and writes the booking back. What your staff opens is what the caller was told.

  2. 02

    Registers new patients

A first-time caller gives their name, date of birth, and contact details, and the agent creates their record in Juvonno or Cliniko before booking the first visit.

  3. 03

    Asks your intake questions

New or returning, reason for the visit, insurance carrier, referring provider. List the questions in plain English and the answers arrive in the call summary.

  4. 04

    Takes refill and records requests

A refill, a form, a copy of their records. The agent takes down who is calling and what they need, and your team gets it in the call summary to act on.

  5. 05

Routes calls to the right person

Billing, the nurse line, a provider’s office. On a warm transfer, your staff hears who is calling and why before they accept the call.

  6. 06

    Confirms upcoming visits

Tag tomorrow’s patients and the agent calls each one to confirm, moving anyone who cannot make it to a new time.

  7. 07

    Covers after-hours and overflow

Nights, weekends, lunch, and the stretch when every line is busy. Calls that need a person go to the number you set, and emergency calls are tagged in the inbox.

  8. 08

    Answers the non-clinical questions

Hours, parking, accepted plans, what to bring, how to prepare for a procedure. The questions that fill a front desk day and never need a clinician.

Outbound

Automatically calls patients who are due and books their appointments.

Give the agent the recall list and it calls each patient during office hours, offers openings from your schedule, and books the visit into your calendar. Your front desk sees the result by patient.

  1. 01

    Build the list

Tag the patients who are due, or select them from Contacts. Everyone on it has called or texted your practice before, or your staff confirms they are an existing patient.

  2. 02

Tell it what the call is for

Book an appointment, confirm one that is coming up, or collect intake details. One sentence of context covers which visit is due and how far out to book.

  3. 03

    It calls inside your hours

You set the days, the hours, and how many attempts. A voicemail pickup is noted and tried again another day. A patient who asks to be left alone is marked do-not-call.

  4. 04

    Booked into your calendar

The agent offers openings from the calendar your practice already keeps and writes the booking back. A patient who wants a callback is queued for your team with the time they asked for.

  1. Callspace

Hi, is this Priya? This is the assistant at Maple Dental. This call is recorded.

  2. Patient

    Yes, this is Priya.

  3. Callspace

Thanks. I’m calling because you’re due for a cleaning and check-up. I can book that now if you have a minute.

  4. Patient

Oh, right. I kept meaning to call. Sure.

  5. Callspace

Dr. Chen has Tuesday the 22nd at 10 a.m. or Thursday the 24th at 2:30. Would either work?

  6. Patient

    Thursday at 2:30 works.

  7. Callspace

Thursday the 24th at 2:30 with Dr. Chen is booked. See you Thursday.

  • ✓ Called at 10:14, inside office hours
  • ✓ Identity confirmed before the visit was mentioned
  • ✓ Cleaning booked · Thu 24 · 2:30 · Dr. Chen
  • ✓ Outcome recorded: booked

Maple Dental and Priya are fictional. With compliance mode on, the agent says nothing about the visit until the patient confirms who they are, and if someone else answers it leaves no detail behind.

Boundaries

What it will not do

  • It does not give clinical advice, triage symptoms, or interpret results.
  • It does not read a chart back to a caller or confirm what a record contains.
  • Anything urgent or ambiguous goes to a person with the full transcript attached.

Practice systems

Books into the schedule you already keep.

The agent reads live openings from your system and writes the booking back while the patient is on the line, so nobody re-keys a phone booking.

Trust

Built for regulated calls.

Clinics need more than a good agent. Here is what changes with compliance mode on, stated as behaviour your reviewer can check. A SOC 2 Type II audit is underway, and the report goes to every customer before they go live.

  • 01

    Compliance mode, one way only

PHIPA/HIPAA compliance mode is set per organization and cannot be turned back off. Behaviour that depends on it cannot be relaxed later, by your team or by ours.

  • 02

    Notifications carry no PHI

With compliance mode on, email and SMS call summaries carry a link and nothing else, and push notifications drop the preview entirely. Lock screens and inboxes are the two places this data most often leaks, so it never goes there.

  • 03

    Every access recorded

Reads of PHI-bearing records are written to an access log with actor, action, resource, request id, IP address, and timestamp — built to the content specification in PHIPA s. 10.1(4). Owner and admin only, viewable in the app and exportable as CSV.

  • 04

    Diagnostics log field names only

Field names carry no caller data, so they are logged everywhere. Values are never written to a log line under compliance mode.

How the data is handled, in full

Canada

Built in Canada, to PHIPA.

Callspace Technologies Inc. is a Canadian company headquartered in Alberta. Compliance mode was built to Ontario’s health privacy law.

An access log built to PHIPA
Every read of a record carrying personal health information is logged with who read it, what they read, when, and from where, to the content specification in PHIPA s. 10.1(4). Owners and admins can view it in the app or export it as CSV for your privacy officer.
Where the data is processed
Call data is stored and processed in the United States. The privacy policy names every sub-processor and the terms for cross-border transfers, and we take your privacy officer through it during security review.
Billed in Canadian dollars
Canadian practices pay in CAD, at the price shown on the pricing page.

Compared

Against what you have now.

A phone tree is cheap and everyone hates it. An answering service is human and stops at taking a message. Here is where the agent lands.

Rollout

Live on one line before it is live on all of them.

No big-bang cutover. You hear how it handles your actual callers on a narrow scope, then decide how far to take it.

  1. Step 01

    Scope the calls

We go through the calls you actually get, decide which ones the agent should own, and agree what it must always hand to a person.

  2. Step 02

    Build and connect

Your script, your escalation rules, your calendar, CRM, or store. If you need compliance mode, it is switched on here, before any real call is answered.

  3. Step 03

    Test on real scenarios

We run the edge cases — the angry caller, the wrong number, the emergency, the caller who asks whether it is a person — and adjust until it holds up.

  4. Step 04

    Go live on one line

Forward one number or one after-hours branch. You listen to a week of real calls, then widen the scope with evidence rather than optimism.

FAQ

Questions we get asked.

Will you sign a business associate agreement?

Yes. Talk to us before you sign up so it is in place from the first call. Compliance mode is switched on for your organization at the same time.

Where does protected health information actually go?

With compliance mode on, it stays inside the application. Email and SMS summaries carry a link and nothing else: no caller name, no number, no summary body. Push notifications drop the preview, because that preview renders on a lock screen. Diagnostic logs record which fields were present, never their values.

Can we prove who looked at what?

Every successful read of a record carrying protected health information is written to an access log: actor, action, resource, request id, IP, timestamp. Built to the content specification in PHIPA s. 10.1(4). Owners and admins can view it in the app or export it as CSV.

Does it work with our practice management system?

It books directly into Juvonno, Cliniko, Google Calendar, and Calendly today. Dental and medical vendors gate their APIs behind their own partner programs, so for anything else, tell us which system you run and we will say whether we can connect to it before you sign up.

Is our call content used to train AI models?

No. We do not sell personal information, and we do not use your call content to train general-purpose AI models. Recordings and transcripts are encrypted in transit and at rest.

Bring us the calls you were told needed a person.

We will go through your actual call volume, agree what the agent should never touch, and put it live on one line so you hear it on your own callers. A BAA is in place first if you need one.
